How TrackChief LLC handles information on the TrackChief website and in the TrackChief mobile app.
1. Who we are
TrackChief is a motorcycle track-day companion app and website operated by TrackChief LLC, a company organized in Washington, United States ("TrackChief", "we", "us"). TrackChief LLC is responsible for the information described in this policy.
2. What this policy covers
This policy covers two different things, which handle information differently:
- The website (trackchiefapp.com) — a marketing, support, and information site. It has no user accounts, sign-in, or checkout.
- The TrackChief mobile app for iOS and Android — where accounts, motorcycles, setups, logs, and community features live.
Using one does not mean we collect the information described for the other. Third-party services you reach from TrackChief — for example the App Store, Google Play, event organizers' registration pages, or Instagram — have their own privacy policies.
3. Information from the website
Contact and request forms
The Support, Work With TrackChief, and Delete Account forms do not send information to a TrackChief server. When you submit one, your browser opens a pre-filled email draft in your own email app, addressed to trackchiefapp@gmail.com. We only receive what you choose to send. When you do, we receive your email address and whatever you include — for example your name, organization details, topic, and message.
Hosting and technical data
Like most websites, the site's hosting and network providers automatically process technical information needed to deliver pages and protect the service, such as IP address, browser and device type, requested pages, and timestamps. Our hosting and network provider, Cloudflare, may set a short-lived security cookie (for example __cf_bm) used for bot protection.
Fonts
The website loads fonts from Google Fonts, which means your browser requests font files from Google's servers and Google receives your IP address as part of that request.
What the website does not do
The TrackChief website does not currently include advertising, analytics tags, or social-media tracking pixels, and it does not set its own cookies. If that changes, we will update this policy first.
4. Information from the app
The categories below describe what the TrackChief app is designed to handle. Some items only apply if you use the related feature or grant the related permission.
| Category | Examples and purpose |
|---|---|
| Account and sign-in | Email address, sign-in identifiers from Sign in with Apple or Google Sign-In, and an account ID — used to create your account and sign you in. If you use Apple's "Hide My Email", we receive a relay address instead of your personal email. |
| Profile | Display name, username, profile image, and any profile details you add — shown to you and, where the app's community features display them, to other users. |
| Motorcycles and setup | Motorcycles in your garage, tires, pressures, suspension settings, gearing, track setups, setup history, and checklists — stored so the app can show and organize them for you. |
| Ride Log (Pro) | Session entries you record, such as lap information, tire pressures and temperatures, weather, track surface, suspension adjustments, setup changes, and rider notes. |
| Photos and uploads | Images you choose to add, such as motorcycle photos or a profile picture. The app only accesses photos or the camera when you choose to add an image and grant permission. |
| Community features | Friends and friend requests, messages you send, reports you submit, users you block, and your event attendance (for example "Who's Going"). See section 8. |
| Location and area | When location access is enabled, TrackChief uses your device's location to provide local weather, nearby trackdays, and distance information. Precise coordinates may be transmitted to our weather service or third-party geocoding providers, including BigDataCloud, to determine your location. TrackChief does not intentionally store precise GPS coordinates in rider profiles. The app only requests device location with your permission, and you can turn it off in your device settings. |
| Notifications | If you allow notifications, a device push token so we can send notifications you have enabled. You can turn notifications off in your device settings. |
| Subscriptions | If you subscribe to TrackChief Pro, purchase and subscription identifiers, product, status, and entitlement information from Apple or Google (processed through RevenueCat) so the app knows whether Pro is active. We do not receive your full payment card number. |
| Support communications | Emails you send us and our replies. |
| Technical and diagnostic information | Technical information needed to run and improve the service, such as app version, device type, operating system, app usage events, crash reports, and app performance data, collected through Firebase Analytics, Firebase Crashlytics, and Firebase Performance Monitoring, or provided by the app stores. |
5. How we use information
- To provide the app's features — your garage, setups, checklists, Ride Log, reference tools, tracks and events, and community features.
- To create, secure, and maintain your account and sign-in.
- To check and manage TrackChief Pro access.
- To find nearby tracks and events, show distance information, and show weather for your area.
- To send notifications you have enabled.
- To respond to support requests, partnership inquiries, and privacy requests, including verifying account ownership.
- To review reports, enforce our Community Guidelines, and keep TrackChief safe.
- To understand how the app is used, diagnose crashes and performance issues, fix bugs, maintain the service, and improve TrackChief.
- To comply with legal obligations and protect our rights and users.
6. Service providers
We use service providers that process information on our behalf to run TrackChief. These include:
- Google Firebase — app backend services such as authentication, database, and file storage.
- Firebase Analytics — app usage and event information used to understand and improve how TrackChief is used.
- Firebase Crashlytics — crash reports and related diagnostic information, such as device type, operating system, and app version.
- Firebase Performance Monitoring — app performance data, such as app start times, screen rendering, and network request timing.
- Apple (Sign in with Apple, App Store) and Google (Google Sign-In, Google Play) — sign-in, app distribution, and subscription billing.
- RevenueCat — subscription purchase, status, and entitlement management for TrackChief Pro.
- Apple WeatherKit (Apple Weather) — weather forecasts and current conditions. Weather requests include location coordinates for the area being looked up. Apple states that WeatherKit uses location information only to provide weather forecasts, does not associate it with personally identifiable information, and does not track it between requests.
- BigDataCloud and other geocoding providers — converting location coordinates into a place name, such as your city or area. Geocoding requests may include precise coordinates.
- Website hosting and network providers (including Cloudflare) and Google Fonts for the website.
- Google (Gmail) — for the TrackChief support mailbox.
These providers process information according to their own terms and privacy policies and may store or process it in the United States and other countries.
7. When information is shared
- With service providers, as described above, to operate TrackChief.
- With other TrackChief users, when you use features that are designed to show information to others — for example your profile, friend connections, messages to the recipients, and event attendance.
- With app stores, which handle purchases, trials, cancellations, and refunds under their own policies.
- For legal reasons, when we believe it is required by law, legal process, or to protect the safety, rights, or property of users, TrackChief, or others.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy or a successor policy.
- With your direction or consent.
When you follow a link to an event organizer's registration page, you are leaving TrackChief; any information you give the organizer is handled under their policies.
8. Friends, messages, reports, blocking, and events
- Friends: other users can see that you are connected when you accept a friend request.
- Messages: messages are stored so they can be delivered and shown to you and the recipients. Messages are not end-to-end encrypted. Recipients keep their own copy of conversations.
- Reports: when you report a user or content, we receive the report and related information so we can review it.
- Blocking: we store your block list so the app can limit interactions with blocked users.
- Event attendance: if you mark yourself as attending an event, that may be visible to other users, such as friends viewing "Who's Going".
9. Your choices and controls
- Edit or remove motorcycles, setups, checklists, and log entries in the app.
- Control location, photo, camera, and notification permissions in your device settings.
- Manage or cancel TrackChief Pro through Apple or Google Play.
- Request a copy of, correction to, or deletion of your personal information by emailing trackchiefapp@gmail.com. We may need to verify that you own the account before acting on a request.
Depending on where you live, you may have additional rights under local law. Contact us and we will respond as required by applicable law.
10. Account deletion
You can request deletion of your TrackChief account and associated personal information from within the app or without the app. See the Delete Account page for both options. Deleting your account does not cancel an App Store or Google Play subscription — cancel that separately.
11. Retention
We keep personal information for as long as your account is active or as needed to provide TrackChief. When an account is deleted, we delete or de-identify the associated personal information, except where we need to keep certain information for legal, security, fraud-prevention, dispute, or accounting reasons. Information may remain for a limited time in backups before it is overwritten. Other users may keep copies of messages you sent them, and Apple, Google, and other providers keep their own records under their policies.
12. Security
We use reasonable safeguards offered by our service providers, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
13. Children
TrackChief is designed for motorcycle riders and is not directed to children. If you believe a child has provided us personal information, contact us and we will take appropriate steps.
14. Changes to this policy
We may update this policy as TrackChief changes. We will post the updated version on this page with its effective date and, for material changes, provide additional notice such as an in-app message or email.
